Somewhat as I posted before, the music schedule is the following (with a few revisions):

FRIDAY WELCOME DANCE at Ruta Maya (1:00-7:00) DJ'ed by Austin DJs

FRIDAY EVENING (8:00-12:00)
at the Texas Women's Federation Ballroom ("The Fed") (4000 square foot hardwood floor ballroom)

The UnExchange band: a custom made small group jazz band playing mainstream jazz with a "Groove" element.

Two Sizeable Alternative Rooms: Classic Swing and Slow Blues.
(We have close to 400 registrants and 300 paid and confirmed, so there will be significant spill-over into these rooms)

FRIDAY AFTER HOURS (1:00-6:00)
at Footworks (approximately 2000 square feet in the main room and 2 800 square foot alternative rooms)

Main Room: Groove, Blues, and mainstream swing
"Slow Blues" Room
"Westie Lindy" Room

SATURDAY DAYTIME

DJ'ed at LBJ courtyard (huge, flat marble and smooth concrete in 78 degree weather (we hope))

SATURDAY EVENING
at the Fed

Austin Lindy Exchange Big Band
Custom-made Big Band playing Ellington-style and Basie-style Big Band music. Featuring Martin Banks (Trumpet from Austin), who has played with Ellington, Basie, Gillespie, and almost everyone else.

Slow Blues and Classic Swing Alternative DJ'ed Rooms

SATURDAY AFTER HOURS

Main Room
Slow Blues Room
Westie Lindy room

SUNDAY DAYTIME

Mr. Sinus Theater (Mystery Sceince Theater-like spoof on "Footloose")
12:00-2:00

LBJ Courtyard DJ'ed dance from 3:00-6:00

SUNDAY EVENING
Sangaruende Hall (2000 square feet dance floor; Seperate room with free bowling)

The Texas Trumpets
Local Blues band with "Groove Swing" edge.
Featuring Martin Banks (Trumpet from Austin), who has played with Ellington, Basie, Gillespie, and almost everyone else.

SUNDAY AFTER HOURS
American Legion Mansion overlooking Town Lake

DJ'ed from 1:00 until everyone is gone (8:00 a.m. or so)

Are you expecting people to end up in those rooms because they prefer the music, or just because there's no room in the main ballroom?

I suppose you've already considered it, but it might not hurt to have a couple of 100ft xlr's on hand just incase you find out that 350 people are trying to squeeze into the main room and there's 25 in each of the side rooms and maybe it'd be better to pipe the band into a second room..

Last year, people went to the special rooms because they wanted to be there. 25 people in each side room adds up to 50 people. Those 50 people will be happy blues dancing or whatever it is they do. Add the other lounge areas, casino rooms, etc..., yet another 25 - 30 people are not taking space in the main ballroom. The Fed is a mansion, so the idea is to use the whole mansion, not just the ballroom.

We also don't want to clear out the main ballroom, it will be the center of activity. We are just giving people an incentive to spend some time in other rooms. The fact that we are able to showcase more music styles/DJs, the better.

In my opinion, if we just piped in the band, nobody would want to dance in the side room. They would still favor the crowded, but lively main ballroom. But, we have never tried that in the past.

BTW, to supplement the music, the Exchange is a few days off and it is 78 degrees and sunny today. Another day in paradise.

Both.

I have considered it, but it is impractical given the layout of the Fed (Fri and Sat evening venue). We will pipe the main room into another room at Sunday after hours, though.

It worked well last year. The blues room was well attended. Most people came to the room, danced a few songs, and returned to the main room. The DJs were great and it was hard at times to figure out how I could be in both places at once!
